Cleaning tender response example: methodology and evidence
A cleaning tender response should explain how the service will run and how the buyer can check it. This fictional example connects a quality-assurance answer with the evidence, responsibilities and unresolved details behind it.

The fictional buyer’s question
“Describe your quality assurance and cleaning inspection process.” Assume the buyer is seeking weekday cleaning at three community facilities. No actual client, delivery history, certification or contract award is represented by this example.
A worked draft to adapt
We propose a site-specific task schedule agreed during mobilisation. The site supervisor will check completion against that schedule, record exceptions and allocate corrective actions to a named team member. A monthly register will bring together inspection findings, outstanding actions and buyer feedback. At the service review, we will discuss recurring issues and agree any schedule changes with the buyer. [CONFIRM: inspection frequency, escalation times, supervisor availability and reporting format.] [ADD: an approved procedure and a relevant, verifiable project example.]
Why this is stronger than a general claim
“We provide high-quality cleaning” gives the evaluator little to assess. The worked draft names a method, an accountable role, a record and a review point. It also exposes details that have not been confirmed. Those placeholders must be resolved before the wording becomes a delivery commitment.
Match each statement to supporting evidence
Use current documents that genuinely support the proposed service. A policy title alone does not demonstrate that a process will operate at the buyer’s sites.
| Statement | Evidence to consider | Review question |
|---|---|---|
| Supervisor inspections | Approved inspection procedure and sample checklist. | Does the procedure support the frequency you promise? |
| Corrective-action tracking | An action register or relevant reporting example. | Who owns and closes actions, and within what time? |
| Comparable service experience | A permission-cleared project example and referee where requested. | Are your role, scale and results accurate and relevant? |
| Staff and insurance requirements | Current records requested by the buyer. | Do the names, coverage and dates satisfy the actual conditions? |
Outline mobilisation before promising a seamless start
List the handover tasks: confirm access and service hours; validate the site task schedules; allocate staff and backup arrangements; check required clearances; arrange equipment and consumables; and agree the first reporting cycle. Assign owners and dependencies. Confirm the timetable with the people who will deliver it.
Complete a separate final submission check
Check the draft against every part of the question, the response limit and any required template. Resolve placeholders, reconcile the method with pricing, attach the requested evidence and obtain internal approval. Follow the buyer’s upload and lodgement instructions. An editable Word export is a working pack, not proof of eligibility or successful submission.
