ILLUSTRATIVE ANSWER FRAMEWORK

Example: explaining quality assurance

Buyer’s question: “Describe how you will monitor service quality and resolve issues.”

  1. Direct answer: identify the proposed inspection and reporting process.
  2. Method: explain who inspects, how often, what is recorded and how issues are escalated.
  3. Evidence: reference the current procedure and a relevant, verifiable example.
  4. Commitment: state an approved target and how the buyer will see performance.
“Our proposed approach is for [role] to inspect [scope] every [frequency], using [approved checklist]. Findings will be recorded in [register] and assigned to [owner]. We propose to report [measures] to the buyer at [interval]. See [evidence document and section].”

Every bracket is a fact or commitment to confirm. This wording is an example structure, not evidence of your organisation’s capability.

Using the template well

What if the buyer provides a response schedule?

Follow it. Use the VEYDR draft to prepare answers, then transfer them into the required schedule or portal fields. Do not replace a compulsory form with a different format.

Can I reuse a previous answer?

Yes, after checking it against the new question, scope, word limit and evidence. Update names, dates, resources and commitments. An old answer that sounds relevant can still miss the current question.
